Terms and Conditions
The following terms and conditions apply to bookings with The Warren, The Hive, and The Roost at Field House Farm Yorkshire LTD.

Once a booking is confirmed, a contract is established, and by making a reservation, you acknowledge and accept these terms and conditions.
The individual listed on the booking form agrees to ensure that all members of the party adhere to the terms outlined below during their stay.
1. Booking Confirmation
By submitting a completed booking form, agreed upon by both parties, you acknowledge this as a binding contract. Any amendments must be confirmed in writing by both parties.
2. Maximum Occupancy
- The maximum guest occupancy for The Hive is 2, The Roost is 4 and The Warren is 8 individuals, including adults and children over 2 years old.
All individuals, regardless of age, are counted as guests. Additional infants (under 2 years old) may be accommodated with approval at booking.
- One dog is permitted per cottage with prior approval and a £25 fee.
- Arriving with unannounced additional guests is discouraged. If you need to make changes, please contact us in advance. Exceeding the maximum occupancy may result in us asking your entire party to leave without a refund.
3. Payment
- A 25% deposit is required at booking. The balance is due 6 weeks before your holiday start date.
- Bookings made within 6 weeks of the start date require full payment at booking.
- Failure to pay the balance by the due date may result in the property being made available for re-booking.
4. Arrival and Departure
- Check-in is from 4:00 PM, allowing time for property preparation.
- Check-out is by 10:00 AM. Late departures may incur a minimum penalty of £25 or more, depending on the level of disruption.
**Note**: If arranging grocery deliveries, please coincide with or after your arrival and ensure a guest is present to accept them. We cannot accept deliveries on your behalf.
5. Cancellation Policy
- Cancellations must be notified in writing. Any outstanding payments remain due.
- For cancellations made more than 6 weeks before the start date, a full refund will be issued.
- For cancellations made within 6 weeks of the start date, a refund will be issued minus the deposit.
- We strongly recommend holiday cancellation insurance to cover unforeseen events, as no insurance is provided under this agreement.
6. Owner Cancellation
If we are unable to accept your booking, a full refund will be provided. We reserve the right to refuse or cancel bookings at our discretion. If the property becomes unavailable for any reason, our liability is limited to the refund of payments already made.
7. Pets
One well-behaved, house-trained dog per property is allowed with prior approval. Dogs must be kept under control, not left unattended in the property or garden, and are not permitted on furniture. Any damage caused by pets will be the guest’s responsibility.
8. Security and Liability
- Guests are responsible for securing the property by closing all exterior doors and windows when away or sleeping.
- Vehicles and personal belongings are left at the guest's own risk.
- The property owner is not liable for accidents, injuries, or damages incurred on the premises.
- The property is for self-catering accommodation only. The owner reserves the right to refuse access to anyone deemed unsuitable. Any disruptive behavior may result in guests being asked to leave.
- CCTV is working in the front of the properties and car park areas.
9. Breakages, Damages, and Cleaning
- Guests are expected to care for the property and leave it clean and tidy.
- Please report any damage, breakage, or loss during your stay. We do not typically charge for minor damage but may require reimbursement for significant issues, such as damaged mattresses.
- A minimum charge of £80 may apply for extra cleaning if the property is left in an untidy state.
- Guests agree to take reasonable fire safety precautions.
10. Property Access and Maintenance
- Guests agree to allow access to the property for necessary maintenance.
- Access to the hot tubs is needed during your stay for upkeep and cleanliness - this will be via access at the rear of the property.
Owners will make every effort to minimise disruption and will conduct maintenance at suitable times.
11. General Conditions
- Guests may only use the property for holiday accommodation and may not sub-let or reassign it without the owner’s approval.
- If more than one property is booked, ensure that all items (e.g., furniture, crockery) are returned to the correct property before departure.
- Guests are expected to leave the accommodation in a clean, tidy state.
12. Smoking
Smoking and vaping are not permitted inside the properties. Failure to observe this policy may result in extra cleaning charges.
- Please use the provided ashtrays for outdoor smoking.
13. Power Cuts
Power cuts may occasionally occur due to the rural location. Torches are provided in each property for such instances, though these events are beyond our control.
14. Force Majeure
We cannot accept liability or offer compensation for disruptions caused by events outside our control (e.g., fire, flood, extreme weather, pandemics). In the case of force majeure, we will attempt to offer an alternative date or a credit/refund. All bookings made post-2020 acknowledge that disruptions due to the ongoing Coronavirus pandemic are an accepted risk.
15. Shortcomings
If you encounter any issues during your stay, please inform us immediately. We cannot address complaints retrospectively if we are not notified during your stay. Written notice of any claims must be provided within 30 days after the end of your stay.
